Job Description:

 

The mission of the Information Technology Group (ITG) is to develop, implement and maintain technology-based services and solutions enabling us to effectively manage information to accomplish its missions.   

Hospital Financial Services is refining its budgeting, forecasting, and reporting systems as part of a broader effort in support of the expansion of the Healthcare System.  Satisfying this need will include deployment of on-premise and cloud-based software solutions.  In addition, chart of accounts, forecasting, and business processes will be optimized to assure the Healthcare has a strong foundation to support the2025 initiatives and beyond.  These deliverables require an experienced Project Manager to lead this effort in a hospital environment.  

The Hospital Finance Systems Project Manager will be responsible for managing and coordinating all aspects of implementation of the Hospital Financial Services projects and the required financial planning & analysis systems. 

This position: 

• Serves as the Scrum Master for the project in coordination with project resources and the product owner, executing the project in a standard Agile methodology

• Leverages Team Foundation Server (TFS), Jira Project Management, Smartsheet.com, or MS Project as needed for management of Sprint execution

• Coordinates and directs internal and external resources to ensure successful project completion, respecting project budget, scope, and schedule. 

• Creates and maintains comprehensive project documentation

• Performs risk analysis/management 

• Tracks project performance against plan

• Develops a comprehensive project plan, including implementation phases as needed

• Facilitates meetings 

• Works with customers and internal resources to smoothly transition support to operations at the conclusion of the project

• In consultation with various stakeholders, defines success metrics and drives user adoption and organizational and patient value.

• Creates project reports and presentations to communicate project information to stakeholders at various organizational levels

• Drives process and content standardization during system implementation

• Follows change control processes to ensure proper vetting of project change requests

 

This position must work with all levels of the organization, including vice presidents, administrators, department directors, managers, staff, users as well as vendors, in the design, development, and implementation of healthcare finance and business intelligence applications on multiple technical platforms. This person will help coordinate and prioritize appropriate hospital finance, clinical, business intelligence analysts, and developer resources and contractors as needed to meet these deliverables.  

 

Healthcare project management experience, especially in relation to hospital revenue cycle and financial planning and analysis systems is strongly desired.

Project Management:

  • Works with both internal and external resources to collaboratively plan, organize, and coordinate large scale, complex hospital finance and information technology projects as assigned. Leverages Agile Project Methodology in cooperation with the product owner to effectively deliver solutions.  Develops project scope documents, feasibility studies, cost benefit analyses, resource requirements, project cost estimates, risk mitigation strategies, roles & responsibility matrices, and critical success factors. Prepares project implementation plans and timelines.  Oversees implementation and maintenance processes.  Leads development of project risk assessment and risk mitigation plans and project change control plans and procedures. Performs post-implementation reviews to measure critical success factors.  Manages project budgets.

• Performs Cost Benefit Analysis of main and subprojects and assists management in selecting best options and alternatives

• Assigns project tasks to team members and assures completion on schedule

• Schedules, prepares relevant meeting materials, and conducts project team progress meetings to review project progress.

• Coordinates outside vendors and other work units to provide project management for internal and external projects 

• Conducts project kick-off, implementation, support and milestone meetings; provides progress reports to management

• Acts as the advocate for Hospital Finance (HFS), Business Intelligence & Advanced Analytics (BIAA), and the user community to present and/or assess project-related technical solutions and tools for implementation of new solutions.

• Uses all relevant processes including project management systems, trouble ticket systems, service outage calendars, email, phone trees, paging systems and other communications tools as relevant.   Performs customer projects and tasks prior to or by expected due date and follow-up to ensure customer satisfaction.  

• Identifies project completion milestones and task milestones and reports to management when they are not met or at risk.

• Leverages a team environment to work with and provide feedback and accurate technical information to engineers and administrators in other groups working to identify and resolve issues

• Uses professional written and speaking skills to successfully build positive relationships among customers, co-workers and vendors

and procedures. Performs post-implementation reviews to measure critical success factors.  Manages project budgets.

Develop Project Management culture within the Hospital Financial Services

• Coordinate Project Management training using training assets (Project Management Beginner\Intermediate\Advanced), Effective Meetings, Smarsheet.com enterprise license, SharePoint, etc.

• Facilitate planned training for the department’s adoption of Project Management standards.

• Includes the selection and utilization of a PM tool for Hospital Financial Services (i.e. Smartsheet.com).

• Institute the culture of documenting project status from the ground up, to facilitate summary reports and dashboards for status review by Management and the VP of Finance.

 


Qualifications

 

  • 3 or more years experience as a Project manager, leading and implementing large scale financial information system projects in a healthcare org
  • Bachelor’s degree in computer science, information technology, hospital administration, or related field with experience in healthcare IT
  • 3 or more years experience in a complex technology environment, including hands-on experience with process improvement initiatives
  • Experience utilizing Jira or Team Foundation Server (TFS) for Project schedules, Kanban, and resource planning
  • Successful candidates must show that they have significant organizational skills and can lead projects from conception, schedule, design, testing
  • Prior exp with implementation of complex enterprise applications and databases; clinical records systems; infrastructure setup/configuration projects
  • Effective leadership of highly-skilled financial analysts or technical personnel in overseeing the development and implementation of applications
  • Demonstrated skill in managing operational and capital budgets
  • Knowledge of Hospital Billing revenue cycles, preferably in an Epic Systems environment
  • Expert level knowledge in MS Project, Excel, Visio (or equivalent diagramming/vector graphics application); MS SharePoint intermediate level knowledge
