Job Description:

  • Duties:
    The primary responsibility of the Transplant Schedule Coordinator position is to set up patient schedules for initial evaluations, consult visits, follow up visits, pre transplant visits, post-transplant evaluations and any other transplant related appointments a patient may require.  This person needs to schedule in multiple systems and needs to be able to work collaboratively with people in and outside of our department.


  • Skills:Be able to schedule incoming transplant evaluations including:
    Know what tests are routinely required for an evaluation
    Know the prep procedure required for each of these tests
    Able to explain required prep to the incoming patient,
    Know which test need to have results in before the Physician sees the patient (know how long it takes to get results for tests physicians must see during clinic visit)
    Know the order tests need to be run in (some tests must be run before other tests in order to be accurate).
    Know how to arrange a schedule to minimize the amount of time patient will need to be in town.
    Be able to schedule in multiple department and clinics including areas outside of the U of M Medical systems.
    Be able to work with others outside of the department to get patients scheduled in a timely manner.
    Be able to work efficiently in a stressful and demanding environment while offering excellent patient satisfaction. An incoming evaluation will typically take from 2 to 5 days.
    Be able to schedule post transplant evaluations.  The requirements for this area is similar to the above though the total number of appointments is typically less than for an initial evaluation.
    Be able to schedule single appointments and lab appointments.
    Manage work flow in Epic including the
    In basket, Setting flags and due dates so that others can determine status of scheduling when needed
    Accurate documentation including letters saved within patient’s EPIC chart
    Effectively communicating information with others such as Coordinators, Physicians, Social Workers and Finance.
    Provide backup administrative support including: Outlook calendar management,
    Prompt and efficient phone screening, Work processing, Filing, Scanning, Packet and report assembly, etc

  • Education:
    High school diploma
    Preferred Education
    Vocational/Technical Training or Associate Degree
