Position Details 

Job Description:

This position provides complete administrative support for the Executive Vice President of HR in New York City, NY. As the first point of contact for all communication to the EVP’s office this person will be responsible for providing high level professional support and act as the ambassador for the EVP. This person will act as a liaison between the EVP and other constituencies, both internal and external and will often need to achieve actionable results through others with the ability to build strong and sustainable relationships and the capability to interact within all levels of the organization.
o Oversee heavy calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings
o Manage meeting schedules, agendas, preparations and presentations including Management Committee presentations, Staff Meetings, etc.
o Responsible for scheduling global travel arrangements
o Manage all incoming communications on behalf of the EVP
o Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
o Manage expense reports and other administrative duties
o Maintain confidentiality with the utmost professionalism
o Exercise independent judgment to make administrative decisions and take action in the executive's absence
o Incumbent will maintain a positive, professional attitude and may train employees on procedures and office equipment, and serve as administrative liaison with others within and outside the company


Qualifications

o Previous experience in an senior-level administrative role to include C level
o Ability to problem solve and think on feet
o Strong professional demeanor with customer focus
o Bachelor’s Degree preferred
o 10 years previous experience in administrative role
o Proven ability to maintain confidentiality and high level of integrity
o Strong interpersonal skills to interact with all levels of personnel, developing relationships proactively
o Strong organizational skills with keen eye for detail
o Excellent written and verbal skills
o Ability to handle multiple tasks and changing priorities while maintaining high degree of accuracy
o Ability to manage multiple deadlines
