Position Details 

Job Description:

This role will provide administrative support to the Senior Vice President of Operations and respective leadership team in a fast paced environment. Daily tasks are varied and are to be handled with the utmost confidentiality. This position requires a self-starter who can anticipate the needs of the leadership team with the ability to focus and complete tasks while dealing with multiple interruptions throughout the day. 

As the first point of contact for all communication to the SVPs office this person will be responsible for providing high level professional support and act as the ambassador for the SVP.

Specific Responsibilities:
Act as a liaison between the SVP and other constituencies, both internal and external and will often need to achieve actionable results through others.
Build strong and sustainable relationships and the must possess the capability to interact within all levels of the organization.
Performs advanced, diversified and confidential secretarial and administrative duties, i.e. prepare correspondence/reports, screen calls, maintain appointment calendars, set up meetings and travel itineraries, arrange conference calls, etc. 
Organizes and expedites flow of work through executive's office. 
Oversee heavy calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings.
Schedule travel arrangements.
Prioritize and manage multiple project simultaneously and follow through on issues in a timely manner.
Maintain expense reports and other administrative duties
Maintain confidentiality with the utmost professionalism.
Exercise independent judgment to make administrative decisions and take action in SVPs absence


10 years previous experience in an administrative role required, Bachelors degree preferred.
Strong professional demeanor with customer focus.
Ability to problem solve and think on feet.
Previous experience in a senior level administrative role.
Proven ability to maintain confidentiality and high level of integrity
Strong interpersonal skills to interact with all levels of personnel, developing relationships proactively.
Strong organizational skills with an eye for detail
Excellent written and verbal skills required.
Ability to handle multiple tasks and changing priorities while maintaining high degree of accuracy. 
Ability to manage multiple deadlines.
Strong knowledge of Microsoft office products, office administration, calendaring required.
Must be available to work extra hours as needed."
