Assignment Details 

Job Description:


  • Administrative duties include reading and following up with incoming correspondence, making travel and meeting arrangements, drafting correspondence, preparing reports and analyses, and maintaining a positive customer relations perspective.  This role represents the department in following up on projects and securing information relevant to management responsibility. 
  • Responsible for calendaring; manage all requests for appointments, coordinate schedules, invitees, locations, and set up conference calls; set priorities for activities and appointments, keep management aware of meetings, guests, events, and other obligations

  • Screen incoming telephone calls; take accurate messages, research and respond to a wide range of inquiries with little to no direction, direct appropriate inquiries to other responsible parties in a timely and appropriate fashion

  • Receive and respond to routine correspondence following established procedures not requiring management review; prepare presentations, various documents, and handle all incoming and outgoing mail

  • Fax, copy and file documents as requested

  • Responsible for complete coordination of meetings, both on-site and off-site, including scheduling, correspondence, site reservations, preparing materials, and arranging travel accommodations and catering

  • Create agendas, record and distribute meeting minutes as required; compile necessary status reports; responsible for follow-up on action items; prepare analyses as requested

  • Prepare and coordinate all travel arrangements including reimbursement 

  • Provides administrative support to other management 

  • Works collaboratively with all members of the team and provides assistance as needed

  • Filing of documents into patient charts and management of digital document storage

  • Inventories office supplies and coordinates order with manager approval.

  • Follows HIPAA guidelines 

  • Functions as contact between AR Department and IS Department for system wide outages/issues

  • Sets up work stations for new employees including ensuring the data lines for telephones and computers are operational

  • Responsible for driving the culture through values and customer service standards

  • Accountable for outstanding customer service to all external and internal customers

  • Develops and maintains effective relationships through effective and timely communication

  • Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner


  • High school diploma, GED or equivalent required; Bachelor’s Degree preferred
  • Three (3) years of experience as an administrative/executive assistant to management level
