Job Description

  • Scheduler is primarily responsible for formulating and organizing schedules to provide services to facilities, clients and patients via supportive, personal care, home health aide, volunteer, and MHC.
  • Communicates directly and works closely with Supervisors/Directors to promote coordination of services.
  • Scheduler also responsible for the daily staffing replacements and communication with Supervisors/Directors, patients, staff and on-call responsibilities as assigned.
  • High school education or equivalent required.
  • Experience in health related position, either clerical or caregiver required.
  • Computer experience required.     


Specific Job Details:

  • Schedules new and return appointments, procedures, and lab; explains registration process, and gives directions to new patients.
  • b) Maintains daily provider schedules.
  • c) Follows guidelines for added/same day exam requests; notifies appropriate areas of added exams.
  • d) Verifies and updates patient employment, insurance coverage, address, phone, and other demographic information when needed through use of appropriate tools.
  • e) Prepares charts and charge tickets for upcoming appointments. Uses CRM and EHR to obtain information needed by medical team and patients for their visit.
  • f) Communicates appropriate information to patients, visitors, and staff in accordance with established procedures.
  • g) Assists with on-call schedules, as instructed.
  • h) Complies with all applicable organization policies and procedures by following our organization mission, vision, and values.
  • i) Utilizes organizational and prioritization skills; uses work time efficiently and effectively.
  • j) Communicates and interacts appropriately and clearly with all staff.
  • k) Ability to maintain a mature problem-solving attitude, flexible, and organized in stressful situations such as conflict or time demands.
  • l) Answers the telephone in a professional and courteous manner; takes messages; directs calls to appropriate staff members.
  • m) Demonstrates knowledge of the organization's resources, locations and phone numbers.
  • n) Effectively gathers accurate information in order to identify caller's needs and provides appropriate response.
  • o) Demonstrates ability to be considerate of age, developmental, physical, social, emotional and cultural needs of customers in all communications and encounters.
  • p) Keeps management abreast of changes on issues that affect the workgroup.
  • q) Manages and operates equipment safely and correctly (i.e. computers, telephones, fax machine, copy machine, etc).
  • r) Demonstrates knowledge, skills and performance consistent with EOC policies and procedures.
  • s) Follows state, federal, and JCAHO standards.
  • t) Receives, sorts, processes, forwards mail and other information from a variety of sources.
  • u) Maintains patient waitlist, calling patients to be seen at earlier dates as available.
  • v) Calls patients to remind them of their appointment one to two days in advance of their appointment.
  • w) Provides patients with required paperwork to complete for their visit employer records in CRM, as appropriate.          



  • High school graduate or equivalent required
  • Previous medical office experience preferred.
  • Secondary education or equivalent work experience preferred.
  • Ability to read and communicate effectively in English. Additional languages preferred
  • Excellent interpersonal skills.
  • Basic computer/keyboard knowledge.
  • Ability to multi-task.
  • Ability to use various forms of office equipment.
  • Must have excellent organizational, communication, writing, and communication skills.
  • Ability to work in conjunction with staff in a supportive way to troubleshoot and resolve issues.
  • Ability to address difficult situations with tact and diplomacy.
  • Ability to work well in a team-oriented environment.
