Job Description
  • Scheduling virtual and face to face events
  • Liaising with suppliers, like venues and L&D partners/local HR, on logistics and arrangements
  • Preparing logistics and materials for events, including residential workshops
  • Creating and maintaining program materials
  • Designing and updating of PowerPoint presentations, program templates, etc.
  • Maintaining internal websites / SharePoint sites and content
  • Maintaining learning events and registrations in learning management system
  • Tracking/reporting registration and completion of activities by participants
  • Answering questions related to the coordination of the programs for participants, suppliers, HR, etc.
  • Preparing data and reports as part of the on-going operational needs; Analyzing the impact study data, if needed
  • Creating documentations to record the steps in processes of running the programs; Continuously improving the workflow by proactively identifying issues and suggesting enhancements
  • Developing and maintaining good relationship with external vendors and key stakeholders, including Program managers, Talent/HR, business leaders, participants, etc.
  • Other L&D projects within the Learning Strategy & Operations team

 

Required Skills:
  • Previous experience of coordinating events, programs or projects in large, diverse and global teams desirable
  • Strong project management skills; adept in delivering results against project plans and to deadlines across businesses, geographies and disciplines in a dynamic environment with responsibility for supporting multiple projects simultaneously
  • Good oral and written communication skills (incl. good interpersonal skills)
  • Good planning, organization, time-management and prioritization skills
  • Analytical approach – accuracy and attention to detail important
  • Self-starter with good initiative and flexibility
  • Good team working skills and proactive customer support; Able to respond to urgent requests and changes
  • Proficient skills on Excel, PowerPoint, Word and quick to pick up new packages (e.g. HR and talent systems)
  • Ability to understand the steps in a process and record them accurately
  • Ability to handle sensitive information whilst maintaining confidentiality
  • Interest in developing project management skills
  • Ideally an interest in Talent/Learning/HR
